At Paul Aijian MD, we strive to provide timely and quality care to all our patients. To ensure availability for everyone, we have established the following policy regarding missed appointments and late cancellations. This policy applies to all patients except those covered solely by Medi-Cal, as state regulations prohibit charging no-show fees for Medi-Cal beneficiaries.
Policy Details:
• No-Show Fee: A $75 fee will be charged for any appointment missed without prior notification.
• Late Cancellation Fee: A $75 fee will be charged for cancellations made less than 24 hours before the scheduled appointment time.
• Applicability: This fee applies uniformly to all patients with Medicare, commercial insurance, or private pay, except Medi-Cal-only patients.
• Purpose: The fee reflects the missed opportunity to serve other patients and is not a charge for services rendered.
Patient Responsibilities:
• Patients are responsible for notifying the office at least 24 hours in advance to cancel or reschedule an appointment.
• The fee will be billed to the patient’s account and must be paid prior to scheduling future appointments. For convenience, we may request a credit card on file to process the fee.
• A first-time no-show may receive a courtesy warning at the provider’s discretion, but subsequent incidents will incur the fee.
Notification:
• Patients will be informed of this policy through signage in our office, appointment reminder communications, and/or a signed acknowledgment form at the time of registration.
• Appointment reminders will be sent via phone, text, or email to help reduce no-shows.
Compliance:
• This policy complies with California regulations, Medicare guidelines, and the American Medical Association’s Code of Ethics.
• For Medicare patients, the fee is not billable to Medicare and is the patient’s responsibility.
